The Sapphire Suite isn't your typical event venue. By day, it's a coworking space with open desks, private conference rooms, boardrooms, Zoom pods, and a fully stocked kitchen. But come evenings and weekends, the space transforms and stays open for baby showers, birthday parties, graduation celebrations, retirement parties, and more. Running both sides of that operation is no small task.
Owner Tammie Osborne and community concierge Catie Simpkins have built a system to stay organized.
"We are just trying to keep balls from being dropped," Tammie said. And Eventective is a big part of how they do it.
From manual everything to one central hub
Before Eventective, The Sapphire Suite's event-booking process relied on a patchwork of tools.
"We had a Google Doc that was the contract," Tammie shared. "It was a lot of manual updating, printing it out, signing it, sending it, making sure we got it back, uploading it to Google Drive... There was a lot of manual effort." Payments were processed separately, and receipts were difficult to customize for clients. "You practically have to have a degree in Visual Basic to edit any of the documents the customer would see,” Tammie joked.
Eventective replaced all of it. Now, every event booking runs through the platform. "We don't have to store stuff on our Google Drive anymore," Tammie said. "We know it's all right there in Eventective."
Catie loves that the platform handles much of the manual work, freeing her to focus her attention on where it’s needed most.
Automated payment reminders go out on schedule without anyone having to set a calendar alert. Contracts are sent digitally and signed electronically. Clients can see an itemized breakdown of what they're paying for without anyone having to build a custom receipt. "The customer-facing side of it felt much more user-friendly," Tammie said.
The messaging feature is equally valuable. "You're not digging through your emails for all these emails from a customer," Tammie said. "It's all tracked. All the messaging and back and forth is right there in the system." Templates have cut down on repetitive work for Catie, too. Rather than starting from scratch on every contract and response, preloaded templates handle her routine communication.

The kind of support you don’t expect and the leads you do
Getting up and running with the booking tools was straightforward—with one exception. Connecting Eventective to Stripe for automated payment processing hit a snag, and Tammie “put on her IT hat” to work with Stripe and Eventective to get everything sorted.
Eventective's CEO and CTO jumped on a call to work through the issue. "They were great. They were super helpful," she said. For a small business owner, having the people at the top of the company show up to solve a problem was exactly the kind of partnership she was looking for.
Eventective’s lead market has also been a standout feature for The Sapphire Suite. "The lead market from Eventective has been good for us in terms of business that we would not have been able to directly target," Tammie said.
Looking ahead, corporate events are at the top of their wish list. The space’s coworking setup is a natural fit for team off-sites, workshops, and luncheons. Getting the right content and imagery to market that side of the business is the next step—but the platform to manage it all is already in place.

Built for people who think in systems
Tammie comes from a tech background, and it shows in how she thinks about Eventective.
"I would highly recommend it," Tammie said. "Having it all together, having automation, having it send off to the customer to handle everything on their own side—and not having to manage and watch, did I get this information? Did they sign this back? Do I have to put it in the drive now? Having all of those different steps has made it really easy to have it all in Eventective."
