Woodland Retreats – Timberframe Hideaway & Hocking Manor This contract outlines the terms and policies for weddings hosted at Woodland Retreats, including Timberframe Hideaway and Hocking Manor. Please review and sign to confirm your booking. 1. Lodging and Event Policies 1.1. Booking and Payment: A non-refundable deposit of 50% of the total booking cost is required to secure your event date. The remaining balance is due 90 days prior to the event. 1.2. Check-In and Check-Out: Check-in begins at 12:00 PM the day prior to your event. Check-out is at 12:00 PM the day following your event unless otherwise agreed upon. 1.3. Venue and Guest Capacities: Timberframe Hideaway: Sleeps up to 30 guests for overnight stays. Accommodates up to 175 guests for wedding ceremonies and receptions. Hocking Manor: Sleeps up to 27 guests for overnight stays. Accommodates up to 100 guests for wedding ceremonies and receptions. 1.4. Additional Guests: A fee of $50 per person, per night, applies for additional overnight guests exceeding the base guest count, up to the maximum allowable capacity. 1.5. Inclusive Pricing: The pricing provided is all-inclusive for your convenience, and we are happy to customize your package to meet your specific needs. 2. Event Policies 2.1. Event Hours: All events must conclude by 11:00 PM. 2.2. Vendor Access: All vendors must be licensed and insured. Proof of licensing and insurance must be provided, and Woodland Retreats must be listed as an additional insured party for the day of the wedding. 2.3. Damage and Cleaning: The couple is responsible for ensuring the property is left in the condition it was provided. A refundable $1,000 damage deposit will be required and returned within 14 days of check-out if no damages are incurred. 2.4. Noise Ordinance: Amplified music is permitted but must adhere to local noise ordinances and end by 10:00 PM. 3. Cancellation and Refund Policy 3.1. Cancellations: Cancellations made more than 180 days prior to the event will result in forfeiture of the deposit only. Cancellations within 180 days of the event are subject to full payment unless the date is rebooked. 3.2. Rescheduling: Rescheduling is allowed once, subject to availability, with at least 120 days' notice. 4. Liability 4.1. Woodland Retreats is not responsible for loss, theft, or injury incurred during the event or stay. 4.2. The couple agrees to maintain liability insurance for the event, listing Woodland Retreats as an additional insured party.
