Payments & Damage/Cleaning Fees 1. Full payment is due when making a reservation. 2. Renter assumes liability for damage to the facility by the renter’s hired contractors. 3. Any damages to the facility or items used will be communicated & billed within one week of event. 4. Any concerns or disappointments with event must be communicated within 3 days of event to allow us time to make it right. 5. There is an additional $250 cleaning fee if the facility is damaged, left dirty, or belongings have not been removed. Refunds and Cancellations ALL cancellations must be submitted in writing - emails are accepted. 1. There is a $25.00 non-refundable cancellation processing fee for all rental reservations. 2. Renters may receive a full refund (minus $25 cancellation fee) up to 30 days prior to the event date. 3. If event is cancelled 15-29 days prior to event, a 50% refund will be given. 4. No refunds will be given within 14 days of the event date. 5. Early entry or late vacating, beyond event time, by you or your hired contractors (caterers, florist, musician, etc.) will result in additional fees. Facility Supervision 1. A Facility Attendant must be present during all events scheduled during non-operational hours. An additional fee of $25 per hour will be charged. Please see hours of operation on first page. Kitchen Rental 1. Available to rent for a $90 fee for 4 hours or less, or a $130 fee for 5 hours or more. 2. No food or beverages may be left/stored in the kitchen after your event time is complete. 3. The kitchen area must be cleaned prior to check out. Decorations 1. Decorations may not be nailed or stapled to any part of the walls, ceiling, or floors. Painter’s tape may be used. 2. Rice, confetti, birdseed, glitter, smoke machines, fog machines, bubble machines, etc. are prohibited in or around the premises. 3. No open flames are allowed. All candles must be contained. 4. All decorations must be removed from the facility by the end of event time. Music/Noise Level 1. Music/noise level must be appropriate, as to not disturb regular operations or other facility events and must be kept at a reasonable level as dictated by Community Center Staff. 2. Any amplified sound (live amplified band, etc.) requires renting all three multi-purpose rooms. Serving Alcoholic Beverages You can serve alcoholic beverages at no charge to your guests. However, if you plan to sell alcoholic beverages at your event, you will need a permit. Please see the Resource Guide for Alcoholic Beverage Service (Special Events Permit (estes.org)) if you plan to serve alcoholic beverages at your event. Tables and chairs are included in event rental and will be arranged according to the event set-up provided by the renter. 2. General • All fees must be paid in full to reserve a facility date. • The person signing the reservation form (signatory) will be considered the responsible party for any issues during the event. All minors must have adequate adult supervision. • Renting the facilities includes exclusive use of the facility identified. This does not include the playground, beach, or general area surrounding the facility. • Only the equipment listed on the reservation form is available (we do not provide tape, ladders, or additional equipment for your use). • Decorations, if used, will be put up with tape only, no nailing, stapling, or tacking will be allowed inside or outside of the pavilion. Decorations must be removed at the end of the rental. Please no glitter or confetti. • The renter is personally responsible for returning the premises in the same condition as when the renter took possession. A $250 fee applies if the facility is damaged, left dirty, or belongings have not been removed. • Special equipment such as tents (stakes longer than 6"), bounce houses and any other outdoor specialty equipment, etc. must be approved by the District prior to the reservation. • Please observe Alcohol Beverage Service Guidelines per Estes Park Special Events Guidelines. • You can bring your own grill. You must follow all fire restrictions that are in place at the time of your rental. Check with Larimer County and the Town of Estes Park for current fire restrictions. • Dogs are allowed, owners must comply with leash laws. • No marking of any kind on park structures (tables, turf, sidewalks). No glitter or confetti is permitted. • Conduct: Excessively loud noise and poor behavior is not tolerated. You are expected to clean up after yourself.
